Changing user’s role in an Ultra module or organisation

Users are assigned a role for each module they are enrolled in. These roles control what users can access within a module. The most common roles are Student and Instructor. To change a user’s role in an Ultra module or Organisation, click on the link below Class Register.

Find the member of staff whose role needs to be changed and click on the three dots beside their name. Click Edit member information.

Use the drop-down menu to change the user’s role. Please remember that students ought to be coming in from SITS and ought to remain in the role of students, so you should only change the role for other members of staff. 

Here is a link to our guide on course roles. Remember that not all roles have the same set of permissions, so make sure that you select the best role. 

The Guest role does not work in Ultra modules so please refrain from assigning that role to anyone.
The Course Builder role does not allow the user to access Collaborate sessions.

Set a primary instructor

If a module has multiple instructors enrolled on it, you can choose to set the Primary Instructor(s). This will mean that when viewing the class register, students and staff can easily identify who the leader(s) of the module is.

Any instructor on the module can set this up:

  1. Access the Class Register from the Details & Actions menu within the module.
  2. Click on the next to the instructor you want to edit and select Edit member information.
  3. Tick the checkbox next to Primary instructor.
  4. Press Save.
  5. Repeat for any other primary instructors on the module.

If there are multiple primary instructors set-up on a module, they are listed alphabetically before other instructors in the class register.

External examiners

External examiners may need to have access to your module in My Dundee. To set up your external examiner on your module:

  1. Check that your external examiner has a University of Dundee account (for example, j.z.bloggs@dundee.ac.uk). If your examiner does not have this, then you will first need to fill out an Associate Staff Request Form. Once they have an account, you can enrol them in your module. 
  2. To enrol the external examiner, go to the relevant module in My Dundee.
  3. Access the Class Register from the Details & Actions menu within the module.
  4. Click on the ‘+’ symbol at the top-right of the screen (when you hover over the symbol it will state Enrol People).
  5. Type in the UoD username of the external examiner (usernames can be taken from their UoD email address minus the dots and the ‘@dundee.ac.uk’, e.g. ‘j.z.bloggs@dundee.ac.uk’ becomes ‘jzbloggs’).
  6. Select the relevant person (you should see the + symbol to the right of the name change to a green tick).
  7. From the drop-down list that appears below the user, change the role to External Examiner.
  8. Press Save.

Your external examiner has now been added to your module.
